Managing Stored Prompts

using the stored prompts workspace the stored prompts workspace is used to create, delete, and edit stored prompts you can access it from the build list in the configuration console creating stored prompts from the configuration console's build list, select stored prompts from the stored prompts workspace, click add enter the specific details for the stored prompt name give the stored prompt a descriptive name, such as a shortened version of the prompt text itself prompt the words that the user sees asking them to provide or do something make them clear and concise association select a single associated business object or leave no association in the drop down list no association means you can use the stored prompt with any business object type set the type of prompt you want to use type fields related to prompt type text character limit if the multi line option isn't selected, enter a maximum character limit for the length of the field to be filled by the user multi line select this option to allow multiple lines of text to be entered into the stored prompt field by the user number precision if currency isn't selected, enter the number of degrees of precision for a numerical value for example, 2 represents 0 00 currency select this option to make the field into a currency field date/time if selected, the user sees a date/time picker when they are prompted to fill in the field boolean choose this option to use a value of either true or false table select a table choose a table to pick a value from note this list is restricted to those tables used by the associated business object select a field choose a field from your selected table user can only choose values from the list if selected, the user can only choose values from the drop down list when prompted if not selected, the user can enter their own value return value from different field if user can only choose values from the list is selected, the user can select this field but use a different value for example, use this option to select a user by name but write the id for that user into the prompt field list of fields when the above two fields are selected, this is where you would select the id field in the above example from the drop down list during set up constraints choose field , operator , and value (latter can be an expression) fields to, for example, restrict incident owners to a specific team you can add multiple constraints pick list pick list choose a list for the user to select from when prompted user can only choose values from the list if selected, the user can only choose values from the drop down list if not selected, the user can enter their own value return value from different field if user can only choose values from the list is selected, the user can select this field but use a different value for example, use this option to select a user by name but write the id for that user into the prompt field list of fields when the above two fields are selected, this is where you would select the id field in the above example from the drop down list during set up value default value which varies dependent on the selected prompt type if you select value expression , the simplified expression editor opens so you can create an expression re prompt on each occurrence if selected, the prompt appears for every record processed by the quick action if cleared, the prompt appears once max prompt dimension choose a maximum size in pixels for your stored prompt window the maximum height is only visible if the prompt text requires it so ensure you make use of the preview to confirm that the size is big enough click preview to see what your prompt will look like click save editing stored prompts the edits stored prompts from the stored prompts workspace open the configuration console and select stored prompts from the build list use the column headings to sort and filter the stored prompts and select the one you want to edit click the pencil icon and make your changes note the name and associated business object cannot be changed during editing create a new stored prompt if you need to change these fields click the save icon deleting stored prompts the can delete stored prompts from the stored prompts workspace open the configuration console and select stored prompts from the build list use the workspace column headings to sort and filter the stored prompts and select the one you want to delete click the delete icon you can't delete a stored value if it is in use anywhere in on the pop up window, click yes to confirm deletion if the stored prompt is in use, shows an error message click see more to see where the stored prompt is in use click the save icon
